New lead, phone first
A short form for an inbound call: a name and phone number are enough. The case and its first call are created together.
For interventionists and practices
ReferralFit keeps the whole referral and placement workflow in one place, on your iPhone or in your browser: leads, case files, partners, matching, placement requests, packets, and follow-ups. It works for a solo interventionist and for a practice with staff.
Completely free. No subscriptions, nothing to buy, no fees to your practice.
Today
Your day, in order
True cost to the family
Deductible mostly met · within the family's budget
An estimate, never shown to programs
The home screen is Today: a prioritized list of what is overdue, what is due today, and which partners are due a touch. Call or text in one tap and it is logged to the right case or partner.
A short form for an inbound call: a name and phone number are enough. The case and its first call are created together.
New leads sit at the top of Today with the time they have been waiting, measured against your practice's first-call target.
Share your practice's link and a family can ask you to call them back. The request arrives as a new lead. The form tells families it is not emergency care.
Contacts with one-tap call, text, and email that log to the timeline. Payment tracking. Documents kept in private storage and opened through short-lived links. Search across cases by phone number.
Programs, therapists, and interventionists, each with a stay-in-touch cadence. Pin favorites for the whole team or just for yourself. Activity stays neutral: last referral, received, sent.
From Today, a case, or a partner, Follow up gives you a ready text, email, or call script. You send it from your iPhone's own Messages or Mail; ReferralFit logs it and sets the next follow-up 48 hours out.
Optional. Drafts run on your own Anthropic account, and the key stays in your phone's keychain. A draft request carries only first names and relationship (or a partner's organization), your practice name, the case stage, how and when you last reached out, and any note you type. Never phone numbers, email addresses, last names, case notes, or documents.
Track a verification-of-benefits request to each program with a status and a reminder to chase it. Only the last four characters of a member ID are kept; never a date of birth or Social Security number.
Matching covers all 50 states and DC, levels of care, men-only, women-only, and adolescent programs, cash budgets, and insurance, with state-aware insurance and Medicaid plan menus.
From a saved match, send one de-identified request to the programs you choose. Programs answer in their portal, or you send them the same summary yourself. Compare the answers side by side: who can admit, how soon, and the daily rate. Answers never change the ranking.
Six short areas give a recommended level of care with the rationale written out. You choose the level; if you choose a different one, you note why. The rationale goes into the program's packet. It supports your judgment; it is not a diagnosis.
Enter the plan's deductible, out-of-pocket maximum, and coinsurance, and what each program said in its benefits check, and see what the family will likely pay. Always labelled an estimate, never shown to programs, and never used to rank them.
See whether a program's state license, accreditation, LegitScript certification, and NPI are on file and current before you refer. Credentials inform; they never change rank.
Share the recommendation and why it fits. Any financial relationship with the program is disclosed in it.
Recording an admission sets check-ins at 7, 30, and 90 days. Whether the client completed the program feeds the track record used in future matches.
Case funnel, lead sources, speed to lead, collected and outstanding revenue, pending proposed contracts, and referral outcomes.
Teammates join your workspace with a single-use invite code and share partners, cases, referrals, and follow-ups. A solo practice sees none of the team controls.
Partners, cases, referrals, notes, and documents belong to your practice. Other practices using ReferralFit cannot see them, and they are never shared or sold.
The directory is the only shared space. One of your partners appears there only if you submit it and ReferralFit approves it.
Network statistics are shown only when at least five practices have contributed, so no practice, professional, or client can be identified.
The referral ledger and match profiles are kept de-identified. Read the Privacy Policy for the details.
